Job Posting – Booking Coordinator

The Port Theatre Society requires an energic, confident individual to fill our permanent, full-time Booking Coordinator position. This position’s hours are during regular business hours (Monday to Friday) and total 35 hours each week. The Society offers a competitive salary, and benefits including extended health, dental, and matching RRSP contributions. There will be a 3-month probationary period with a performance review leading up to that date.

Responsibilities
Often the first point of contact for our rental clients and guest artists, the Booking Coordinator assesses each group’s requirements, produces cost estimates and liaises with department heads. They are responsible for developing and issuing rental agreements and engagement contracts as well as following up with clients to ensure that required information and documentation is in place throughout the booking process. Communication and coordination with other departments, such as Front of House, Technical Services, Ticket Centre, Marketing, and Accounting, are essential to the role. The successful candidate will be a collaborator and communicator, able to share information openly and clearly with staff and clients. Other duties may be assigned as required.

Qualifications and Experience
• Superior organizational and time management skills to meet deadlines
• Excellent communication skills, both written and verbal
• Excellent customer/client service skills
• Diplomacy and conflict resolution skills with the ability to diffuse challenging situations
• Highly organized, an agile learner and very detail-oriented
• A thorough working knowledge and proficiency with various software including Microsoft Office and Teams
• Experience in event management/artists contracts
• Familiarity with Artifax and Theatre Manager would be an asset
• A team approach to the workplace with strong self-motivation
